I work in a human resources capacity at a major university. We undertake regular investigations into employee conduct. By law we are required to retain records pertaining to these investigations for six years--but we are currently keeping only non-searchable, non-indexable PDFs and paper records.

This creates a situation where records are not able to relate then to each other, and when facing an issue, it is difficult to see how any given employee related to any potential past cases.

What we need is a database that indexes complaints, respondents, witnesses, and supervisors so that we can know how these pieces interact. A basic database would help us do this, but if we could get some analytics that could support our reporting requirements would be a huge boost. We also would like to have an audit trail, and the ability to report out anonymous public records requests. We have tried to find a solution, but we are currently being limited by the funding and leadership side decisions.
