I work in an IT department for a Fortune 500 company that has over 2,000 employees in their headquarters alone.

I am the primary person in charge of process mapping for our department. This relates to various aspects of the department including maintaining servers and staging new hardware and revising software for point-of-sale systems. This is not a call center environment. We use a variety of hardware and software but this issue is not specific to any one.

What is happening is this: I write the document for the process to be mapped that others in the department need to follow. Many people make their own revisions and store them locally on their computer. While we do have the ability to store these documents remotely on a server, what we are winding up with is various revisions that each person uses.

What we need is a piece of software that forces the department to be on the same page. Where documents cannot be stored locally, just accessed (but not just simply accessible from a remote server as that is not working.) Edits / revisions would need to be approved by a person before being able to be saved (for others to see.)

In essence, user-friendly software that allows for process mapping documentation to be shared and edited within a department (and encourages such) yet with management controls in place so that everyone is encouraged / able to stay on the same page and work together.
